The Operations Coordinator supports TDA’s operations by executing key administrative, accounting, and client service tasks. This role reports primarily to the President, with specific responsibilities aligned to a senior account manager. This position is perfect for a detail-oriented professional who thrives in a dynamic environment and enjoys keeping things on track.
Oversee daily office operations including scheduling, supply management, and vendor coordination.
Leverage AI tools to maintain organized systems for office documentation, records, and administrative processes. This role also provides essential administrative support working within a team setting.
Proven ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail.
Strong interpersonal skills with the ability to build relationships across all levels of an organization.
Self-motivated professional who can work independently and take initiative on projects.
Exceptional attention to detail, strong organizational and problem-solving skills, and excellent written and verbal communication with a professional, client-facing demeanor.
Proficiency in using AI-powered productivity tools and modern office software.
Candidates must exercise a high level of discretion, work effectively both independently and collaboratively, and proactively identify needs and close operational gaps.
- Prepare reports, summaries, and operational updates for leadership as requested.
- Manage and organize digital and physical records, ensuring proper documentation, filing, and compliance with internal standards.
- Serve as a primary point of contact for internal staff, clients, and external partners, providing timely and professional communication.
- Leverage AI and productivity tools to streamline administrative processes, reporting, and document management.
- Maintain and improve administrative workflows to ensure efficiency, accuracy, and consistency across the organization.
- Demonstrable record of being detail oriented, organized, and proactive.
- Administrative assistant experience.
- Experience with AI tools, even for personal use.
- College degree or postsecondary education.
- Office Management experience.
